Whilst undertaking the Practical Experience Program, individuals will often change employers. To ensure that the Institute tracks the completion of service it is important for individuals to update their contact details online, and for the purposes of the Practical Experience Program, to complete the required documentation.

When you enrol for the first time in the Chartered Accountants Program an individual personal profile is created on the secure site of the Institute's website. This personal profile is confidential and can only be accessed by you through a personal login and password.

How can I change my personal details? 
 
You can update the following details on your personal profile on the secure site:

  • personal address 
  • contact telephone number 
  • preferred name 
  • email address. 
     
    If you need to change any other personal details (e.g. family name) please contact the Institute's customer service centre. To ensure that your details are updated quickly, you should include your full name and candidate ID number. 
     
    It is important that you update your contact details as soon as they change because the Institute uses this profile information as the basis for all contact and correspondence with you. It is your responsibility to ensure that your personal profile is updated. 
     
    How can I change my employment details? 
     
    The Practical Experience component of the Chartered Accountants Program is continuously evolving. In 2007 a Practical Experience Program was introduced resulting in a competency based log book and changes to mentoring requirements. As such there are different rules around changing employment, depending on when you commenced the Chartered Accountants Program.  
     
    If you change employment at any stage during the Chartered Accountants Program you will need to change your employment details through your personal profile on the secure site.  
     
    Candidate who commenced the Chartered Accountants Program prior to Term 3 2007 and: 
    • Commenced approved employment prior to 1 October 2006
    •  
    • Do not have an external mentor
    •  
    • Has completed a technical module
     
    If you change employment, you are required to complete Sections 1, 2 and 3 of the employment details form(pdf, 136KB). The form must be signed by both your previous and new mentor confirming your cessation and commencement dates. This form is to be mailed or faxed to the Institute's Practical Experience Team. Maintenance of up-to-date employment details is important to ensure you satisfy the mentoring and approved employment requirements of the Chartered Accountants Program and that you receive all correspondence from the Institute, including your Candidate Learning Pack.  
     
    Candidate undertaking the Practical Experience Program post Term 3 2007 
     
    If you are completing the Practical Experience Program and change employment and/or mentors you are required to complete sections 1, 2 and 3 of the employment details form(pdf, 136KB) and submit to the Institute. Your employment details form needs to be completed by you and your mentor. If your mentor is external to your employing organisation, then your manager or HR representative will also need to complete the form.  
     
    Maintenance of up-to-date employment details is important to ensure you satisfy the mentoring and approved employment requirements of the Chartered Accountants Program and that you receive all correspondence from the Institute, including your Candidate Learning Pack.

    Moving between the logbook and an employer with in-house practical experience recognition 
     
    From logbook to an employer with in-house recognition: 
     
    As the candidate, you are responsible for ensuring all logbook entries for the period that you were on the logbook are up to date and signed off by your former employer before leaving. These records are retained by you in readiness for submission to the Institute if required for auditing. Your logbook records must be retained until you have been admitted to membership. 
     
    Upon your commencement with an inhouse recognised employer, you need to complete sections 1, 2 and 3 of the employment details form (pdf, 136KB) and submit to the Institute.  
     
    Whilst employed by the inhouse recognised organisation, you are required to participate in their approved inhouse performance appraisal system. 
     
    From an employer with inhouse recognition to the logbook: 
     
    As the candidate, you are responsible for ensuring all internal performance appraisal documentation is up to date and signed off by your former employer/mentor before leaving. These records are retained by the organisation in readiness for an Institute review of their inhouse appraisal system.  
     
    Upon commencement with your new employer, you need to complete sections 1, 2 and 3 of the employment details form (pdf, 136KB) and submit to the Institute.  
     
    For the remainder of your practical experience period, you and your new mentor will need to maintain a logbook (determined by the Practical Experience Coordinator) in both technical and non-technical competencies:
